A simple field trip checklist for parents

A field trip notice can ask a parent to return a form, note a change to the school day, and send the lunch or gear the school names. Use this field trip checklist when the notice arrives, the night before, and again on trip morning. Keep the parts that apply to your child’s trip and leave the rest alone.

When the field trip notice arrives
Handle the pieces with a deadline. The packing can wait.
- Return the required permission slip or waiver. Use the submission method and due date the school gives you.
- Pay the fee, if there is one. Submit it through the requested portal or payment method by the stated deadline.
- Add the trip to the family calendar. Include an earlier arrival, later return, or different dismissal time if the trip changes the normal school day.
- Sort out pickup. If another adult will collect your child, give that person the expected return time and exact pickup place.
- Tell the school what your child needs on the trip. Follow its instructions for medication and any food, mobility, communication, or sensory support your child needs away from campus.
Arrange medication before trip day. Follow the school’s instructions for any required authorization, labeling, storage, administration, or approved self-carry plan. The Minnesota Department of Health’s field trip guidance calls for advance coordination among families, teachers, nurses, and other school staff, with the school assigning medication duties to staff. Keep prescription and over-the-counter medicine out of the child’s bag unless that plan says the child may carry it.
The night before the field trip
The school’s list is the packing list. A museum visit, farm day, and outdoor science trip may ask for different things.
- Lunch or snack: Pack one only when requested, following the school’s container, labeling, and allergy rules.
- Water bottle: Send the type the school asks for, labeled if requested.
- Clothing: Set out the named class shirt, shoes, layers, rainwear, hat, or change of clothes.
- Trip gear: Pack only the bag, worksheet, name tag, or other item the school specifies.
If the lunch contains perishable food, prepare it the night before if useful and keep it refrigerated. USDA lunch-safety guidance recommends an insulated bag with at least two cold sources for food that needs to stay chilled. Add those cold sources in the morning.
Trip morning
On trip morning, focus on the few details that can still change the day.
- Put the chilled lunch, cold sources, water bottle, and requested gear together.
- Dress your child in the clothing and footwear the school named.
- Leave in time for any special field-trip check-in or earlier arrival.
- Make sure the adult who is actually picking up knows the current return time and exact meeting place.
If the school later changes the return time or pickup place, send those two facts directly to the pickup adult. “The bus is now due at 3:45, and pickup is at the south lot” is enough.
